- 1. When doth registration close and when is admission due?
Registration shalt close September 30th, 2017. Admission must also be paid by this time. Please do not pay admission until thy reservation hath been confirmed. Instructions for paying admission wilt be included with thy registration approval email.
Whilst thy dost have until September 30th, 2017 to pay thine admission, it is helpful to The Hearth for thee to pay admission as soon as possible. This allows The Hearth to have funds up front in order to secure vendors and place necessary orders. Because of this, thy registration wilt not be fully confirmed until thine admission fees hath been received. Until thy registration is fully confirmed, thy spot wilt be not guaranteed, thy name wilt not appear on the guest list, and thou mayest not submit quests/activities. If thou dost miss the initial registration period, thou mayest take advantage of late registration.
Late registration wilt open October 1st, 2017 and close October 31st, 2017. During late registration, the price of admission increases to $500. Additionally, as the host's time grows increasingly more limited this close to the event, it is imperative that thou dost respond to all emails as quickly as possible in order to complete thine interview and receive thine invitation. Late registration fees must be received by October 31st at the latest.
No one wilt be considered for admittance after October 31st, 2017.
How doth the registration process work?
There art several steps to the registration process. It is all started by clicking the "registration" sign at the top of the page.
Thou wilt create and save thy character.
Once thou hast created a character, thou wilt provide an email and password and thou wilt be emailed a confirmation that thy character hath been saved.
Thou wilt provide additional information and submit thy registration.
After saving thy character, thou wilt be taken to a form where thou must submit logistical information such as when thou mayest interview, thine address to receive a mailed invitation, and the like. Once thou dost submit this form, thou wilt receive a second confirmation email. The host wilt also receive an email informing him that there is a new registrant.
The host wilt interview thee.
All applicants must interview with the host via Skype or G+ Hangout. A webcam and microphone is required. After the interview, the host wilt (usually) approve thy registration. Thou wilt receive a congratulatory email along with instructions on how to submit payment.
Thou wilt send payment.
Thou wilt send payment according to the instructions given in the congratulatory email. Whilst admission is not due until September 30th, 2017, it is helpful to The Hearth for thee to pay admission as soon as possible. This allows The Hearth to have funds up front in order to secure vendors and place necessary orders.
Thy registration wilt be fully confirmed.
Once this payment is received and processed by the host, thy registration wilt be fully confirmed. This secures thy spot, puts they character name on the guest list, and allows thee to submit Quests/Activities.
- 3. Why is no one allowed without a confirmed RSVP?
There art several reasons why guests must have a confirmed RSVP. First and foremost, this is a private event in which admission is required. This shouldst be pretty easy to understand. However, some of the edge cases mayest not be as obvious.
For example, during HoBLotH III, players messaged a Portalarium developer and begged him to attend the event. The problem, however, was that he was not on the cast list. He hath declined the invitation knowing that last minute visitors were not allowed. However, as the event went on, he was repeatedly asked to attend. He reached out to the host for permission, which was immediately refused. In response to this, the host was bombarded with messages from many different sources complaining about the decision. The host ultimately capitulated to the demands and allowed the unlisted visitor to attend. Nothing about this is acceptable. It is unfair to the attendees, the host, and the person being let in last minute and here is why.
Firstly, letting last minute guests in is unfair to those who took the time to read, understand, and properly go through the registration process. By letting people in last minute, it says that the registration process (and thus the rules) don't matter (see below) Additionally, when an unannounced special guest shows up, players art tempted to stop what they art doing to go see the surprise visitor, thus abandoning their posts or quests that others spent many dozens of hours creating. HoBLotH events art very carefully scheduled and disruptions to that schedule canst be chaotic.
Secondly, it is unfair to the host for several reasons. Most obviously in that food and beverages art ordered based on head counts. But again, there art less obvious reasons. Firstly, in the case illustrated above, the person the host was strong-armed into allowing in was a Portalarium dev and rightfully belonged on the cast page. He shouldst have been on there for weeks to help promote the event and draw in more attendees. Portalarium devs art allowed to attend HoBLotH events without paying admission in return for getting to use their name as a draw for attendance. It is unfair to the host to allow a last minute dev without proper advertising. Additionally, the host was placed into the awkward position of having to enforce the clearly written rules and waste precious event time fending off inappropriate requests and arguments instead of focusing on running the event (which goes back to being unfair to attendees). Let this be stated clearly...
Asking people not on the list (including devs) to attend last minute is a clear violation of Decree One and wilt result in event ejection at HoBLotH IV.
Lastly, it is unfair to the person being asked because it puts that person in the awkard position of having to ask the host to bend the rules, which means that they art being invited to violate Decree One. Additionally, a person arriving last minute wilt not have had the same preparation for the event as other cast members (including instructions on how to eat/drink for free) and mayest not enjoy the event as much.
- 4. Why is coming and going discouraged?
Coming and going is discouraged for several reasons. Firstly, vehicles art disruptive to the ambiance of the event and also art a safety concern. Whilst not everyone at the event drinks to excess, there art a few players who choose to imbibe more than others. The last thing they needst worry about is vehicles coming and going Whilst they're questing, especially if it involves the blind curve in the road up the hill.
Additionally, it is also disruptive to the player coming and going. The idea is to step through the moongate and enter Britannia then not leave until the event is over. The event won't be as magical to the player if s/he is coming and going each morning and evening.
Lastly, all attendees contribute the event in multiple ways. Some run quests, some volunteer for running shops, some art NPCs for other attendee's quests, and some help with set up. However, all attendees also contribute simply by being present and in character. When players come and go, the atmosphere also wanes and waxes and does not make for a quality event. Whilst emergencies certainly happen, coming and going is discouraged as much as possible.
- 5. Why art the rules so important?
Creating a believable fantasy world is easy in a video game because if the developer programs a fireball to fly across the screen and explode, it does. The developer mayest prevent the player from accessing certain portions of the map until certain quests art completed. By having the ability to create and enforce rules, the developer canst create a game that could not exist in reality.
Since HoBLotH is not a video game, players must adhere to the rules and use their imagination for everyone to experience the game as designed. This is one of the fundamental tenets of LARP. Because of this, it is imperative that certain rules must be followed to the letter or it canst ruin the experience for a great many other players. Additionally, if some rules art not enforced, then it becomes a slippery slope which couldst lead to the host losing control in an emergency situation. If thou has any questions or concerns about this, please ask the host.
- 6. Castleton hath been listed as for sale. What does this mean for HoBLotH IV (and the future of HoBLotH)?
The Hearth doth not believe that Castleton wilt be sold in time to affect HoBLotH IV. However, the Hearth is not confident that using the venue for future events wilt be possible. Because of this, two things art imperative:
1. Thou must do everything that thou canst to attend!
2. We must have a proper wake for Castleton at HoBLotH IV
A special portion of HoBLotH IV wilt be set aside for a wake for Castleton. During this time, we wilt reflect on the many great events that have been hosted there, hear and share stories, and take part in a special send off ceremony that wilt be kept secret until the event. Thou wilt not want to miss this.
Additionally, an 18"x24" commemorative paper map of Castleton wilt be commissioned and printed. The artist has yet to be decided, but negotiations art in progress.
- 7. I canst not attend the entire event, what art mine options?
Unlike HoBLotH II, there is not a firm requisite to attend the entire event. However, it is absolutely in thy best intersest to do so if thou art able! If thou dost needs arrive after the start of the event (e.g. Friday, or Saturday) and/or leave before the end of the event Sunday, thou mayest do so. However, the host must me made aware of this for security and safety reasons. Simply include that information in the registration process.
Whilst flexibility in arriving late and leaving early is (generally) freely given, please remember Rule 2 in that thou art requested not to come and go more often than is necessary.
- 8. What is the earliest I mayest arrive/latest I mayest stay?
Thou mayest arrive any time after 5:00 p.m. on Wednesday, November 8th and sleep at the venue. No one wilt be permitted into the venue before that time. Please do not ask. Please communicate this need during the registration process and the host wilt plan with thee.
On Sunday, the venue must be cleaned and vacated by midnight. Help cleaning up is greatly appreciated and all those who help clean wilt be treated to pancakes!
- 9. What is provided for lodging?
Building assignments wilt be released the first week October, 2017
Firstly, please understand that HoBLotH IV is a camping event. That being said, it would seem wasteful for the perfectly good cabins to go unoccupied. However, there is not room for everyone and the host wilt not open the can of worms that accompanies letting people pay extra for cabin space. Thus, though it is difficult to do so, cabins wilt be asigned based on legitimate need. The host also argues that most of the benefits of a cabin in November canst be achieved with a quality camping cot.
There art twelve (12) habitable cabins at the venue. Many of the cabins have beds or cots, however, attendees must provide their own linens. All cabins have electricity and many have A/C (which wilt not likely be needed for November). No cabins have heat, so pack accordingly.
The cabins wilt comfortably sleep twenty-nine (29) attendees and thirty-six (36) if attendees get a little cozy and art willing to sleep on floors. Attendees request housing during registration. Attendees shouldst state why they needeth a cabin (e.g. "I have asthma" or "I'm flying in from another country"). Requesting a cabin does not guarantee an attendee wilt have a cabin until the request is confirmed by the host. It is possible that reservations mayest not be confirmed until the week of the event due to last minute planning involving attendees with special needs. Having a cabin entirely to oneself and a significant other (i.e. not having to share with other guests) shouldst not be realistically expected (please see Decree #3).
Because there art a limited number of sleeping spots, anyone able to bring a tent shouldst do so. Anyone driving is also encouraged and requested to bring as much camping equipment (e.g. tents, blankets, pillows, air mattresses, etc.) as possible both for themselves and to let others use if willing to lend. If the stretch goal of in-game currency is met, those willing to lend bedding mayest and art encouraged to charge other players in-game currency for the loan. Attendees who go above and beyond in providing for others mayest be rewarded.
Please understand that deciding who gets a cabin and who does not is the single most difficult part of planning the event for the host. Attemping to prioritize which reasons are more valid to deserve a cabin is a singularly exhausting task. This task is made more difficult when the host has to weed out several dozen requests for cabins with the cited reason being "would be nice LOL!" Please do not request a cabin if thou art at all capable of camping.
- 10. Mayest I bring a guest?
Short answer: No.
All attendees must go through the official registration process. This includes the interview and admission fee. Thou art encouraged to vouch for thy guest during thine own registration as this wilt help the host during the interview and confirmation process but "guests" in the typical sense art not allowed.
- 11. I or someone considering attending doesn't know anything about Ultima/SotA...
Ultima/SotA knowledge and experience is not required! In fact, some of previous attendees who knew nothing about Ultima were amongst those who had the most fun because it was all new to them.
Additionally, all attendees must go through the registration and interview process as outlined on this site. Everyone wilt have ample opportunity to ask questions at that time. The host looks for enthusiasm to participate, agreeable personality, and willingness to read, understand, and follow the rules above all else for attendance.
- 12. I am under 21, is that a problem?
For liability reasons, attendees under 21 art not permitted due to the presence of libations.
- 13. What is the smoking policy?
Smoking is not allowed inside the cabins or theatre. Briar, meerschaum, and/or clay pipes art encouraged, please bring them! The host wilt have a supply of tobacco for sharing (or possibly for purchase with in-game currency). Please be respectful, there shouldst be plenty of space for pipe smokers and non-pipe smokers to co-exist happily.
As for cigarettes, please do not leave your butts in the grass. Extinguish them thoroughly, wet them if possible, and dispose of them properly. As cigarettes do not smell as pleasant as pipes, please step away from other guests Whilst smoking them (cigars art generally welcome in the circle, maduros subject to discretion).
- 14. Wilt there be dedicated photographers like last year?
The Hearth is currently attempting to make this happen.
For HoBLotH II, attendees were requested not to quest from behind their phones. The help facilitate this, three photographers wert on site to document the event and wert at the disposal of attendees who wanted specific photos. This question wilt be updated when more information becomes available.
- 15. Mayest I bring food/beer/etc. as a donation?
In general, yes. Please include thy thoughts in thy registration so the host mayest leverage thy donation most effectively.
- 16. Where is the event specifically?
The event wilt take place in Castleton, Richard Garriott de Cayeux's amazing lake-side property in Austin, TX. Directions and parking information wilt be sent to thee once thy registration is confirmed.
- 17. Wilt there be vegetarian/vegan options for food?
Limited vegetarian friendly options wilt be available. Vegan options art not guaranteed. Thou art welcome and encouraged to bring thine own food/snacks/drinks.
- 18. Why dost thou needst the admission fee up front?
The host needs funds to place orders ahead of time for event trinkets, supplies, and to lock in contracts for catering and such. Also, this helps the host have firmer estimates for event planning.
- 19. I canst not afford admission but I really desire to attend, art there any options?
Whilst the value provided for the cost of admission is more than generous, this price mayest be unrealistic for some attendees. Please register anyway and note thy needs during the process. Whilst there is no guarantee that thou mayest be given a discount, the host wilt work with thee to see if accommodations canst be made through extensions, alternative donations, or other ways.
- 20. What happens if the event is cancelled?
If the event is cancelled, everyone wilt get their admission fees back and all wilt be sad. If any of that money is already spent on trinkets, those trinkets will be dispersed accordingly.
- 21. Alas! Something happened and I canst not attend, mayest I have my money back?
Before September, 2017, cancellations made within five days of a confirmed registration wilt have admission fees fully refunded.
Cancellations before September, 2017 but more than five days after a confirmed registration wilt receive a 75% admission fee refund.
Cancellations in September, 2017 wilt receive a 50% admission fee refund. There is no longer a five-day grace period in September.
Cancellations in October, 2017 cannot be refunded.Attendees who have been ejected from the event or had their registrations cancelled prior to the event for behavioural reasons wilt not receive a refund.
Donations, sponsorships, and tips cannot be refunded at any time as they art allocated immediately toward event items.
- 22. Mayest I bring live steel or metal fencing weapons?
Yes, with some important caveats. Live steel is allowed and encouraged for atmosphere. Peace tying (i.e. the act of securing a weapon in its sheath) is not necessary, but it is appreciated. Simply be considerate when drawing the steel and ensuring there is a safe radius and, of course, calling "clear!"
If thou dost bring a fencing weapon, thou mayest be challenged to use it!
There wilt be NO live steel or metal fencing weapons of any kind, peace tied or otherwise, allowed on the field of play for any of the boffer combat. Thou mayest NOT engage in ANY boffer combat anywhere or at any time whilst holding or wearing any live steel. Sheathed or otherwise. This includes pocket knives. This rule wilt be strictly enforced.
Lastly, as attendees progress into the evening (and into their cups) err on the side of keeping non-boffer weapons safely stowed.
- 23. Help! Canst thou elaborate on what is required for garb? -and/or- I don't have any garb, canst thou point me to some resources?
Whilst garb is required, if thou art genuinely worried, thou needst not obsess too much over this. Historical accuracy is certainly not required. At minimum, please avoid jeans and white tennis shoes. Also understand that thou mayest be tramping around on quests through some light woods and it shalt be early November in Texas (i.e. it mayest be any combination of warm, cold, rainy, and/or dry, plan not on wearing expensive feast wear the entire time). Whilst thou art certainly welcome and encouraged to bring changes of garb, it is not necessary (i.e. a special, fancier set of feast wear is not required at dinner). Try thy best to dress like citizen of Britannia or New Britannia. Any and all garbing effort shalt be praised and appreciated and excellent levels of costumery will be praised by all and mayest even be rewarded.
With regard to garbing resources, if thou dost have the spare money and no time or sewing skills, thou canst purchase garb.

Medieval Collectibles A major retailer offering items from Epic Armory, Museum Replicas, and more, Medieval Collectibles has some of the best prices around but they art often either out of stock or they only show limited options. (e.g. They wilt sell gloves as "one size" when there art indeed multiple sizes available from the manufacturer if thou dost seek them out through research.)
Medieval Collectibles is a great place to start thy search but be warned that their customer service leaves much to be desired.
Museum Replicas For many, Museum Replicas is the end-all be-all of garb shopping. They have a wide range of products and art usually in stock. On the whole, their customer service tends to be better than Medieval Collectibles but their prices tend to be higher, even on the same Museum Replicas branded items sold by other retailers.
Like Medieval Collectibles, this is a great place to start thy search but higher quality and better deals canst be had elsewhere with a little searching.
Epic Armory LARP weapons and garb galore at reasonable prices. Please note that Epic Armory is in Cananda and international shipping is required to the United States so plan and group thine orders appropriately. Medieval Collectibles sells most of their line so thou canst get it domestically but if you're looking for more options or a specific fits, it's best to check here before ordering from Medieval Collectibles as Epic Amory often has more options than their authorized retailers advertise.
Epic Armory is a wonderful resource as all of their LARP weapons art HoBLotH combat approved. Check Medieval Collectibles first and compare prices as thou mayest be able to save on shipping.
White Pavilion A friendly company that makes quality garb on a small scale, White Pavilion offers items that art handmade (not factory) so their line, Whilst simple, is a little more unique. This place is worth a perusal if thou art looking for something for something a touch more personal but not so bespoke (and expensive) as Pendragon.
White Pavilion is an excellent company for simple but well made garb that wilt last decades. (The Hearth knows from personal experience)
Ravenswood Leather Ravenswood makes some of the most functional, well made leather pieces for garb out there. What makes Ravenswood nice is the ability to customize virtually any item with any color for both the leather and hardware. The downside is that they art a little on the expensive side but the quality is worth it. There is also a lead time of about a month so plan accordingly. They have a permanent booth at the Texas Renaiassance Festival if thou dost want to talk with them in person.
Ravenswood is an excellent resource if thou hast the coin and time for it. Be sure to plan ahead for custom orders!
Armstreet Whilst Armstreet does offer some of the more common garbery such Templar surcoats and monks robes, Armstreet specializes in Viking/Nordic garb. See for thyself. Their selection is impressive but be warned that they art a bit pricier than the previously listed resources.
If you're looking for very well put together outfits that don't look "costumey," especially with a Viking/Nordic persuasion, then look no further!
Pendragon Costumes If thou art looking for the utmost quality, comfort, and superiority in bespoke garb, look no further. Pendragon is the ultimate source for historically accurate garb ranging from the adventuresome to the most courtly. There is a lead time for custom orders but many of their items canst be purchased "off the rack" at the conventions and events they attend. (They wilt happily let you try clothing all day!)
Pendragon Costumes is the dream garb for many folks. If thou dost have the coin, their garb wilt not disappoint. Their customer service is impeccable.
Footwear Resources In the host's experience, footwear is among the most difficult piece of garbery to source at reasonable prices. Thankfully, affordable options do exist! Often times, it is necessary to purchase boots that art sized for the opposite sex. In general, women's sizes run two sizes larger than men's. (e.g. a women's size 12 shouldst fit a men's size 10)
Funtasma/Pleaser - Whilst admittedly a "stripper boot" company, Funtasma (the costume line of Pleaser) makes some extremely convincing looking and tremendously comfortable boots nearly always for under $100. Their boots art so convincing that even Museum Replicas wilt sell a few of their boots (though they'd never admit that they art Pleaser brand boots). Whilst the link provided is for Funtasma's wholesale page and does not sell directly, thou mayest purchase these boots by googling the product number. Amazon, eBay, and various adult websites stock the Funtasma/Pleaser line.
Minnetonka Moccasins - Available in brown and black, Minnetonka moccasins art a common sight at Ren faires. These boots used to be available in side lace options as well but these days those canst only be found used on eBay. If thou dost wish a pair of these boots that come without the fringe, thou mayest cut it off or purchase them without the fringe directly from Museum Replicas. Additionally, if purchasing directly from Minnetonka, the boots come with or without a small foam pad on the bottom. The host highly recommends the pad on the bottom for durability. What makes these boots exceptional is the ease of which they art customizable with a little time and effort. Lastly, knock off boots canst be found on eBay, especially for women. The quality and visual appearance mayest suffer, but the price cannot be beat.
Son of Sandlar - No list of garb footwear would be complete without Son of Sandlar. Nothing is more iconic Ren faire than these boots. Whilst the quality is undebatable and they wilt likely outlast the apocalypse, they art quite expensive. These boots art many LARPers dream boots because of the quality. The host, however, thinks they generally look ridiculous with their unmistakably modern soles. He believes them to be more akin to sci-fi than Medieval fantasy but to each their own.
Miscellaneous Resources Amazon - The selection, price, and quality wilt vary wildly but every day Amazon is becoming a better and better resource for sourcing garb. This is also useful if thou art buying a Prime eligible item and want it in a hurry and want easy returns if there is a problem. Amazon also has the advantage of having generally reliable reviews.
Ebay - Ebay canst be a fantastic resource for finding garb though it's a little more labour intensive to search and bid. The host personally finds eBay to be a great place to find miscellaneous one-off items like chests, pendants, and the like. Ebay wilt often have an item in a certain size that is out of stock at the major retailers.
Etsy - Etsy is a total grab bag. Thou mayest find custom bespoke items costing an arm and a leg or mass produced items the seller found at their local Goodwill being pawned off for a small profit. With that caveat, there are some very quality sellers on Etsy who art often very happy to work with thee to create something all parties wilt be happy with. Similar to eBay, it simply takes some time and patience to do the research.
